Full Campaign Build [Part 9]: Creating a Promo Workflow
1. Create the Workflow
- Go to Automation → Workflows.
- Create a workflow from scratch.
- Name it using convention: Promo | [Funnel Stage] | [Content Offer Name].
2. Add Emails & Timing
- Insert the first promo email.
- Add a delay (1 week).
- Continue adding subsequent promo emails, spacing each 1 week apart.
- Repeat until all 5–6 promo emails are included.
3. Set Enrollment Triggers
- Add List Membership as the trigger type.
- Confirm trigger list criteria with the Account Manager (varies by account):
- All contacts in HubSpot
- Leads only
- Subscribers only
- New imports (e.g., Discovery Data)
- All contacts in HubSpot
- Add the Master Suppression List as an exclusion:
- Ensure contacts on this list, or those who join it during the campaign, are removed automatically.
- Ensure contacts on this list, or those who join it during the campaign, are removed automatically.
4. Define Workflow Goal
- Set the goal as: Contact submits the form for the promoted content offer (e.g., TOFU form submission on the [ABC eBook] landing page).
- This ensures contacts are removed from the workflow once they download the offer.
5. Associate with Campaign
- Click Organize → Add Campaign Association.
- Select the marketing campaign created for this content offer.
6. Review & Publish
- Click Review to check for errors.
- Allow workflow to send to existing contacts who meet trigger criteria.
- Walk through final review steps.
Once confirmed, click Turn On / Set Live.
