How to Merge Duplicate Contacts in HubSpot

1. Two Ways to Merge Duplicates

  • From Contacts Index Page

    • Go to Actions → Merge Duplicates.

    • HubSpot shows a list of contacts it has flagged as duplicates.

    • Review carefully → HubSpot is not always correct.

  • From a Contact Record

    • Open a specific contact.

    • Go to Actions → Merge.

    • Search for and select the other contact to merge with.


2. Reviewing & Choosing Property Values

  • When merging, HubSpot prompts you to select which property values to keep.

  • Example:

    • Two different emails → select the correct one.

    • Different phone numbers → choose the valid one.

  • The final merged record keeps the chosen values.


3. Adding More Properties to Compare

  • HubSpot shows default properties (email, phone, etc.) during merge.

  • You can add additional properties for review, e.g.:

    • Contact Type

    • Date of Birth

    • City

  • This helps confirm accuracy when deciding which values to keep.


4. Finalizing the Merge

  • After selecting all correct property values, click Merge & Review Next.

  • The system creates a single combined contact record with the chosen values.
