Sequences Part 1: How to create a sequence


  • What Are Sequences:

    • Sequences are a series of sales emails that get sent automatically.

    • Emails themselves are created as message templates, not directly in the sequence.

  • Step 1: Create Message Templates

    • Go to CRM → Message Templates.

    • Click New Template → choose from scratch.

    • Give the template a descriptive name, including:

      • Its position in the sequence (Email 1, Email 2, etc.)

      • The purpose of the template/sequence (e.g., General Outreach / Intro)

    • Add subject line with personalization tokens (e.g., contact first name).

    • Add email body: copy text from writer or your own draft.

  • Email Signatures:

    • If salespeople have signatures set up, HubSpot will append automatically.

    • If not, add personalization tokens for the contact owner’s first and last name.

  • Step 2: Create Subsequent Templates

    • Repeat for Email 2, Email 3, etc.

    • Keep the descriptor consistent; only change the email number.

    • Add the appropriate copy for each email.

  • Step 3: Organize Templates

    • Create a folder named after the sequence descriptor.

    • Move all templates for that sequence into the folder to stay organized.

  • Step 4: Create the Sequence

    • Go to Sales Tools → Sequences → Create Sequence from Scratch.

    • Name the sequence to match the template descriptor.

    • Add the first email template, then the second, third, etc.

    • Decide if each email is sent in the same thread or a new thread (defaults to same thread).

    • Set timing between emails (e.g., 3 business days).

  • Step 5: Add Tasks (Optional)

    • Include manual email tasks for customization.

    • Add call tasks, LinkedIn request tasks, etc.

    • Tasks can complement automated emails for a more personal touch.

  • Automatic Unenrollment:

    • Contact replies to an email → automatically unenrolled.

    • Contact books a meeting → automatically unenrolled.

  • Step 6: Save and Share

    • Save the sequence.

    • Make it available for everyone in the team to use.
